This notice explains what SmartKnowledge stores about you and why. It covers the platform only, not any service your institution runs separately.
What we store
Your name, email address and role; the subjects you are enrolled in; documents you upload; your chat questions and the AI's answers; exercise attempts and scores; and the daily activity counts shown on your dashboard.
Why we store it
To sign you in, to show your subjects and chat history, to generate answers from the correct documents, to let instructors grade work and measure CLO attainment, and to keep the service running.
Who can see it
Instructors can see the work students submit in their own subjects. Administrators can see system-wide totals and the user list. Your chat sessions are visible only to you and to administrators. Other students cannot read your chats or attempts.
AI processing
Your question and the matching excerpts from course documents are sent to the configured AI provider to generate an answer. Do not put personal or confidential information into a chat message.
Retention
Data stays while your account is active. You can delete individual chat sessions yourself. Ask an administrator to remove your account and its data.
Your choices
You can edit your profile, change your email and password, and choose which AI model answers your questions from the settings page.
